Daily work

Run daily operations: appointments, conversations and follow-ups

A repeatable opening and closing routine that keeps every visible customer task owned and explainable.

Key takeaways

  • • Every urgent item needs an owner or a recorded next action.
  • • A current record and a customer-facing outcome are separate checks.
  • • Unknown results should remain visible until safely resolved.

Start with the operating picture

Open Dashboard and review notifications, today's appointments and the work areas available to your role. Then check WhatsApp conversations, voice call records and any failed or partial automation records that your account exposes. Identify one owner or next action for each urgent item before starting new work.

  • • Use the area that owns the record: Appointments for bookings, WhatsApp for conversations and Voice Agent for calls.
  • • Open the record and read its latest state instead of relying on a notification alone.
  • • Write the next action where the module provides a supported control.

Handle appointments deliberately

In Appointments, select the right customer and date before opening a row. For a new request, use Create appointment, review the service and time, and save once. For a real change, open the saved detail and use Reschedule or Cancel. Afterward, verify the row, status and any displayed payment or deposit indicator.

  • • Search before recreating a record whose save result is uncertain.
  • • Confirm the intended customer and service before moving a time.
  • • Treat a changed status as an observed result, not a promise of downstream delivery.

Work conversations and follow-ups

Open a WhatsApp conversation by customer and latest message, read enough context to understand the request and identify whether the response was automated or manual. Use a manual reply or handoff only when your role allows it. Review Voice Agent call rows by time and number, then compare transcript, outcome, follow-up and issue details before deciding what to do next.

  • • Review the latest state before sending another message.
  • • Record a safe reference and the expected next action for a follow-up.
  • • Escalate when the displayed record cannot explain the failure.

Close the day with evidence

Before closing, return to the daily checklist and review unresolved work. Confirm urgent items have an owner, customer-facing changes have a recorded result and uncertain provider outcomes have not been retried blindly. A short note of what you saw, when you saw it and who owns the next action makes the next shift safer.

  • • Leave no urgent item without a next action.
  • • Keep failed and partial records visible for the next review.
  • • Keep credentials and unnecessary private customer details out of handoff notes.

Examples

  • Example: an appointment save appears slow. Search by customer and date, inspect the row and only then decide whether any action is needed.
  • Example: a delayed WhatsApp message has no clear delivery state. Keep the conversation open, record the state and assign a follow-up instead of resending.
